Here is our frequently asked questions for events!! 

General Event FAQ's

How do I register for an event?

Once we have a new event on the line, we will be putting links to the google form in the link in bio. to take in registrations. Once you have filled the form and submit it, you will be receiving all the information regarding the event including links and additional materials.


Can I invite my friends to attend events?

Absolutely. You can simply share a link to our organizations carrd to allow them to register and enter the event at their convenience.


What type of events do you host?

We host events that are about anything and everything related to arts. We have both physical and virtual events!


Where do you host virtual events?

Our general event hosting platforms are Zoom and Google Meet.  


What do you do to ensure a safe environment online?

To ensure that all participants experience a safe environment, we will share community guidelines via email that attendees can read and sign before joining the event. Anyone who doesn't sign will not be allowed into the event.


I learned via email that the event had been postponed. Should I complete the form again or fill out a new one?

No, you won't need to resubmit the form if we need to reschedule.


What should I do if I can no longer attend an event?

If you can no longer attend an event, then disregard the Zoom link or any updates that were sent to your email. 


Do you take event suggestions and who should I contact if so?

You are more than welcome to suggest events. You can suggest an event by sending us a DM. All event ideas will be taken into consideration. 


How do we know who is a volunteer at events?

In-person events all volunteers will be required to wear a visible volunteer tag. To see who is a volunteer, simply check to see if they have a name tag at the booth. For virtual events, you will be able to tell because all volunteers will be co-hosts.


How can you guarantee that every volunteer is trustworthy and kind?

Before they can become official volunteers and assist at events, all volunteers must sign the volunteer event agreement.


If I have to leave before the event is over, can I still attend?

If you ever need to leave an event early because of unforeseen circumstances, you are more than welcome to do so.  However please don't take advantage.


How can I find out where and how to get there when you host in-person events?

On the Google calendar, tap Events, then click the event name to get the location. To get directions, we advise entering the location into Google Maps, Apple Maps, or any other online map you prefer to use.


How will I know if there is parking?

You can find out if there is parking by googling the event area on Google Maps.

 

Do I have to bring anything to your in-person events or can I just show up?

For all in-person events, you will never need to bring anything. For virtual events you may need something to draw with if its art workshop and you wanna follow along.


Is there a fee to attend one of your in person events?

Attending one of our events is free of charge. 


Which ages do your events cater to?

No specific ages. The activities are open to participants of all ages.


Can I photograph your events?

You are always welcome to photograph the setup, banner, or activities, but full permission is required before photographing a volunteer or participant. 


Where can I give a critique and will it be taken into account?

So, if you want to provide feedback, you can do so respectfully by telling a volunteer. We do not want our volunteers to be disrespected or bullied, as they are doing their best and are not perfect. We will do our best to take our critique into account.


Can I bring people with me to in person events?

Yes, of course! The more people the better,


I have a problem with one of your volunteers?

You can contact us at weareartisticgroup@gmail.com. Make sure to include the volunteer's name and what they did and what event it was at and we will address the problem.

Content Event FAQ's

How long will the contests last?

To give participants enough time to complete and submit their entries, we will have contests last at least 10 days.


Are there are extensions?

Yes, we will grant extensions of four days because we realize that things happen. Contact us via Instagram DM if you would like one.


Can I add moving things to my entry?

Of course, but we ask that you provide one still image.


Does my entry need to be on the first slides?

No! If it's not on the first slide, please specify in the description so that we don't assume the wrong thing is your entry.


Can I DM my entry

Yes, of course!


What are the hastags?

We will tell you in the description of the event.


How can I enter contests?

You can enter all contests whenever you want by using the google form in our carrd. 


Can I use others images in my contests?

You can only use other people's images if they are free to use, or if you have the rights to the image. You can always get free to use images from Pexels.com or Unsplash.com or on Google by going to tools then usage rights then creative commons license. We will not accept "photos from Google", because that is not proper credit.


Can I use random fonts from websites?

You can only use random fonts from websites if you have the rights or own the font personally. We would not recommend taking fonts from websites because you could potentially get a virus. Check out Google Fonts, Font Meme, DaFont, or canva fonts if you need safe and free fonts


 Can I submit anything NSFW?

No, all entries must stay PG.


Volunteer FAQ's


I would like to volunteer at events. How do I become a volunteer?

Awesome! You can sign up to be a volunteer by filling out https://docs.google.com/forms/d/e/1FAIpQLSekMv0Md00CyNLZ7iWnTnLoP_HwC-ivcKs-XB8LIH_r686Nfw/viewform. We will get back to you ASAP.


When will I hear back from you after completing your volunteer form?

We will respond to your inquiry within 48 hours. Volunteer applications are accepted on a rolling basis.


What qualifications are needed to volunteer at events?

The volunteer agreement for the event that we will email will contain all requirements. After you sign that you are good to go. 


How will I find out about new volunteer opportunities for events?

If a new event is scheduled, we will send you an email with a Sign Up Genius link where you can select the time-slots for the event you want to volunteer at. Time-slots are first come, first served. 


Can I just volunteer once?

Yes, of course.


What time commitment is required of me when I volunteer at events?

You decide how much time you want to spend with us. 


How old do I have to be to volunteer?

You have to be at least 11 to be an in person volunteer.


What should I wear to volunteer?

Wear comfortable clothes and shoes, and please avoid wearing clothes with any NSFW sayings, homophobic sayings, transphobic sayings, etc.


What time should I arrive to events?

We suggest arriving at least half an hour before the event to help set up if you are a setup volunteer, but 10 minutes before if you are not a setup volunteer to make time to walk over or park if you drove.


I said I could come volunteer at an event, but now I can't. Is that OK?

We understand stuff can happen, so it is okay, but in the future, if you can, try to let us know 28 hours in advance.


Will there be lunch provided?

No, although occasionally there will be snacks and water offered.


Will a ride be provided?

Due to the many volunteers, rides will not be provided. However, many places we host events at will have a metro station nearby or a Metro bus stop.


I need to change my sign up genius time slot can I?
Yes, as long as it is at least 24 hours in advance and other time slots aren't taken, you will be able to change it.


Are we allowed to breaks during events?

Absolutely, you are always more than welcome to take a break.


What will we do as an event volunteer?

That depends on what type of event volunteering you decide to do we have four different types of event volunteers:

Set up volunteers: As a set-up volunteer, you will set up the events, put up the tent and banner, and make the event look presentable. You must also put up the tables and graphics. 

Card Moderators: As a card moderator, you will help people of all ages make cards; you will read and help them understand the card guidelines; and you will check the cards to make sure they followed the guidelines.

Info and Adverting Volunteers:  As an information and advertising volunteer, you will share info about Cards For Hospitalized Kids and our organization. You will also advertise by trying to get people at the event to make cards. You will also take pictures of the event and people holding up their cards for social media and post them on our Instagram story during the event. 

Take down volunteers: As a takedown volunteer, you just take down the event, make it look clean, and put all of the supplies in the bag. You must put up the tables and tents. 


I have court mandated community service hours to fulfill. Can I volunteer with you guys?

Sorry, we do not currently accept court-mandated community hours. We possibly will in the future.


Can we get community service hours for volunteering?

We are an official 5013C, we are always happy to sign off on community hours if permitted by your school. To receive hours, bring your community service form to the event. At the end, we will sign off on hours. If your school doesn't have a form, we will digitally send a certificate that you can show along with a letter.


If I take any photos at events should I tag you guys?

Yes. We would love for you to tag us, as we want to see any and all event pictures. Note that we can only share pictures from public accounts unless we follow you.


Is there anything I can't bring?

We request that you not bring anything NSFW and that you refrain from smoking, as our events are smoke-free and because we have a lot of youth who volunteer.


Will I have any training or informational sessions if this is my first time volunteering?

Yes! Every new volunteer will be able to shadow an existing volunteer if they desire! We are always happy to answer any questions before or during the event.
